Alfresco Makes Records Management Easy

Industry’s only DOD-certified, open-source RM solution integrates and automates compliance

San Mateo, CA - October 14, 2013 - Regulatory, legal and organizational requirements to manage and retain information are more stringent than ever, yet organizations continue to struggle to control documents. In order to address records management (RM) requirements in a way that works for users and records managers, today Alfresco announced the release of its latest Records Management module (v2.1), along with the next version of Alfresco One (v4.2).

In an October, 2012 survey by Forrester Research, Inc.* 40 percent of technology and strategy decision-makers admitted that using RM technology to improve compliance remains a pressing issue. To address this concern Alfresco One 4.2 seamlessly integrates records management into organization’s existing content lifecycles, making sure information remains accurately compliant and automatically protected.

"End user adoption of RM applications remains a significant challenge," wrote Cheryl McKinnon, Principal Analyst at Forrester Research. "Few established vendors have innovated in areas such as user experience.  Records managers are frustrated by their end users' adoption and use of RM systems."**

User adoption is critical to the success of records management and governance programs, Alfresco’s new RM capabilities make it easy for users to comply with retention policies.  Alfresco now enables users to declare records ‘in-place’ without the need to move a file to another site or remove it from content workflows. Placement of records into specific file plans can be automated, reducing the need for business users to navigate complex classification structures. For records managers, Alfresco is introducing new features to auto-create file plans based on pre-configured business rules. This allows for dynamic folders that can be automatically created, allowing the file plan to adapt with the business over time throughout the content lifecycle.

Using a single platform, Alfresco allows users to put any kind of digital file under management, including social media, collaborative content and multimedia files. Alfresco’s first-of-its-kind hybrid enterprise content management (ECM) facilitates collaboration across the extended enterprise, while simultaneously ensuring the proper controls and compliance.  With this release, Alfresco One now fully integrates hybrid worklfows to support business processes that need to traverse cloud and on-prem environments.

Alfresco Records Management is the only open source solution on the market today certified to the DoD5015.02 specification. Alfresco helps companies adhere to information governance standards such as Sarbanes Oxley, Dodd As the only solution to marry the power of hybrid ECM with easy workflow, Alfresco One 4.2 and Records Management 2.1 finally bring together collaboration and compliance.

“As we look beyond the current ECM intersection, one thing remains certain - compliance will always be a challenge and will likely increase as the rate of new content being created multiplies each day,” explained Alfresco’s CTO, John Newton. “Alfresco’s unique hybrid ECM solution reduces a core barrier to records management adoption providing users a single platform that enables compliance without having to think about it.”

Alfresco is an easy-to-use ECM solution that allows users to create, find, share and collaborate on any type of digital content. Hybrid ECM takes collaboration beyond the firewall while the new Alfresco Records Management module allows organizations to enforce compliance with minimal impact on users.

More than 80 organizations around the globe use Alfresco’s Records Management to manage records and ensure compliance today. Alfresco One 4.2 and Records Management 2.1 will be generally available on October 29th across Alfresco’s core languages.
